Product Updates: Week 8
This week brings updates across AI, mobile app, and reporting capabilities. We're rolling out improvements for working with real estate agents in the Command Center, AI snippet assistance that helps you write clearer questions, more mobile app functionality, and enhanced reporting for multifamily properties.
Here's what's new in RentEngine.
Real Estate Agent Experience
You can now mark prospects as real estate agents in the Command Center, which automatically adjusts how RentEngine handles their communications and scheduling.
Property managers who work with high volumes of agent-represented prospects often need different workflows than for direct renters. Agents operate on different timelines, don't need the same follow-up cadence, and typically use separate scheduling processes. This update creates a cleaner distinction between these two prospect types.
How to mark a prospect as an agent:
When creating a new lead, select "MLS agents" as the source—this automatically marks them as an agent
For existing prospects, go to Actions > Mark as Agent
Once marked as an agent, several things adjust automatically:
Agent icon: An icon appears next to their name in the Command Center, making it easy to identify agent-represented prospects at a glance when scanning your pipeline.
Auto-follow-ups turn off: The system automatically disables auto-follow-ups when you mark someone as an agent, preventing unnecessary communication.
Agent scheduling links: Scheduling links now route to your agent-specific scheduling link instead of the standard prospect link, ensuring agents get the appropriate showing flow.
Where to find it: Command Center > Select prospect > Actions > Mark as Agent
Mobile App Improvements
We've added new mobile app capabilities with two features.
Generate Lockbox Codes for Future Dates
You can now generate lockbox codes for future dates directly from the mobile app. This is useful when you need to provide access codes in advance for scheduled showings, maintenance appointments, or contractor access, without needing to switch to desktop or wait until the day of access.
View Self-Guided Showings in the Showing Calendar
By default, the calendar shows all showing types (self-guided and accompanied showings). You can now toggle off "Show non-accompanied showings" in the filters to view only accompanied showings if you prefer a cleaner calendar view focused on in-person showings where you or your team need to be present.
Your filter preference saves automatically for future use, so you don't need to adjust it each time you open the calendar.
Where to find it: Mobile app > Showing Calendar > Filters > Show non-accompanied showings
RentEngine AI Improvements
We've made several updates to how the AI handles snippets, on-hold properties, and prospect communication.
Snippet Assistance
When you save a long or compound question as a snippet, the AI now suggests splitting it into 4-5 shorter, clearer questions.
Instead of creating one complex snippet that tries to cover multiple topics at once, you'll see AI-generated suggestions for breaking it down into focused, individual questions. You can apply the suggestions with one click, edit them before saving, or ignore them and keep your original format.
Better Handling for On-Hold Properties
RentEngine AI now correctly tells prospects when a property is on hold and not currently available for showings, preventing confusion and inappropriate scheduling attempts.
This applies to both text and voice AI, ensuring consistent messaging across all communication channels.
Improved Messaging for Disinterested Leads
We improved how the AI messages leads who are no longer interested, ensuring responses are appropriate for prospects who've indicated they're not moving forward. The AI now handles these situations more gracefully, acknowledging their decision without continuing to push for engagement.
Voice AI Greeting
Voice AI now includes a standard greeting that announces the call is being recorded, ensuring compliance with recording notification requirements in states that require two-party consent for call recording.
Reporting Improvements
Duplicate Unit Number Handling in Owner Reports
Owner reports now better handle situations where you have duplicate unit numbers across different buildings in the same complex.
This is particularly common in low-rise apartment communities or townhouse complexes where each building has its own address but uses the same unit numbering scheme. For example, if you have 123 Main Street Unit A and also 125 Main Street Unit A (townhouses in the same complex with similar unit numbering), the report now differentiates between them clearly instead of potentially confusing the two units.
New Showings Report Columns
The Showings report now includes several new columns specifically for canceled showings, giving you better visibility into why showings don't happen and what happens afterward.
New columns include:
If Rescheduled (Yes/No): Shows whether a canceled showing was rescheduled in the same action.
If Auto-Canceled (Yes/No): Indicates whether the showing was automatically canceled because the prospect didn't confirm.
Prospect's Current Status: The prospect's current status in your pipeline appears as the last column, giving you context on whether canceled prospects are still active leads or have been archived.
